What Documentos is — and isn't
Documentos is a personal organisation tool. It helps you track expiry dates for your documents and receive reminders, store reference copies of documents for your own convenience, and manage appointments related to your expat life in Portugal.
Documentos is not a legal service, an immigration advisory service, or an official document repository. Nothing in the app — including renewal guides, reminder content, or any information provided — constitutes legal, immigration, or official advice. Requirements and processes set by Portuguese authorities can change. You are responsible for verifying all requirements directly with the relevant authority (such as AIMA or your local Câmara Municipal) before taking action.
We provide Documentos in good faith and keep content as accurate as we can, but we cannot guarantee that renewal information or guidance is current, complete, or applicable to your specific situation.
Documentos uses an AI vision tool to extract details from documents and letters you scan. While we work to keep this accurate, AI extraction may occasionally misread dates, document types, or other details. You are responsible for reviewing extracted information and correcting any errors before relying on it.
Eligibility
You must be at least 18 years old to use Documentos. By creating an account, you confirm that you are 18 or over and that the information you provide at signup is accurate.
Your account
You are responsible for keeping your login credentials secure. Do not share your account with others. Each subscription covers one user account.

We reserve the right to suspend or terminate accounts that are found to be misused, shared commercially, or in violation of these terms.
Subscriptions and payment
Free trial
New accounts receive a free 7-day trial. No payment is taken during your trial. At the end of your trial, your access pauses unless you choose to subscribe. No payment is ever taken automatically during or after the trial.
Billing
Subscriptions are billed monthly or annually depending on the plan you choose. Payment is processed securely by Stripe. We never store your card details. Subscriptions renew automatically unless cancelled.
Cancellation
You can cancel your subscription at any time from your account settings. Cancellation takes effect at the end of your current billing period. You will retain access to your account until then.
Refunds
We offer a full refund within 7 days of your first payment if Documentos isn't right for you. Full details in our Refund Policy.
If your access ends
If your trial ends without subscribing, or your subscription ends, your account is locked but your data is kept safe for 30 days. During that time you can still sign in to download a full copy of your data, delete your account immediately, or resubscribe and pick up exactly where you left off. If you do nothing, your account and all associated data are permanently deleted after 30 days. We will email you before this happens, and confirm once it's done.
Your data
Your privacy matters to us. Full details of how we collect, store, and protect your data are in our Privacy Policy.
The documents and information you store in Documentos are yours. We do not access, use, or share your personal documents except as described in our Privacy Policy.
Under GDPR, you have the right to access, correct, and delete your data at any time. To request deletion, use the account deletion option in the app or contact us at hello@documentos-app.com.
Acceptable use
You agree to use Documentos only for its intended purpose — personal document and appointment management for your own expat life in Portugal. You agree not to:
- use the app for commercial resale or to manage documents on behalf of third parties as a paid service;
- attempt to access other users' data;
- use automated tools to scrape or extract data from the app;
- upload content that is unlawful, harmful, or violates the rights of others;
- attempt to reverse-engineer, copy, or reproduce any part of the app.
Availability and changes
We aim to keep Documentos running reliably, but we cannot guarantee uninterrupted access. The app may be temporarily unavailable due to maintenance, technical issues, or circumstances outside our control.
We may update or change features over time. Where changes are significant, we will notify you in advance by email.
We reserve the right to discontinue Documentos with reasonable notice. If we do, we will give you sufficient time to export or retrieve your data before any shutdown.
Limitation of liability
Documentos is provided as-is. To the fullest extent permitted by applicable law, we are not liable for:
- missed appointments, lapsed documents, fines, or any consequences arising from a missed or incorrect reminder;
- decisions made based on information or renewal guidance provided in the app;
- errors in AI-extracted document or appointment details that have not been reviewed and corrected by you;
- any loss of data arising from technical failure, provided we have acted reasonably to protect your data;
- indirect, incidental, or consequential losses of any kind.
Our total liability to you in any circumstances is limited to the amount you have paid us in the 12 months preceding the claim.
This limitation does not affect your statutory rights as a consumer under Portuguese or EU law.
Governing law
These terms are governed by the laws of Portugal. Any disputes will be subject to the jurisdiction of the Portuguese courts, without prejudice to your rights as a consumer under EU law.
Changes to these terms
If we make significant changes to these terms, we will notify you by email before those changes take effect. Continued use of Documentos after that date constitutes acceptance of the updated terms.
